How to prepare a reference for a custom hat quote

A practical checklist for turning a hat photo, sketch or sample into a clear production brief: shape, fabric, artwork, quantity and delivery requirements.

A useful hat brief does not have to be a finished technical drawing. Start with a photo, sketch or existing sample, then explain which features you want to keep and which you want to change. This guide shows what to send Hatforma so we can review your design and prepare a quotation around your requirements.

1. Show the shape from more than one angle

Include front, side and back views where possible. The front shows the crown and logo area; the side helps explain the profile and brim; the back shows the adjustment or closure. An interior photo can clarify the sweatband, seams and labels. Mark the parts you like instead of assuming every detail in the reference should be copied.

For a baseball cap, describe the panel shape, crown depth, structured or soft feel, and flat or curved brim. For a sun hat or another style, explain the brim coverage and intended use. If you have fit measurements, label them clearly and state the units.

An inside view helps identify finishing details that a front photo cannot show. This is a style reference, not a completed customer project.

2. Separate fabric, color and artwork choices

Tell us your preferred fabric and how the hat will be used. If the material is undecided, describe the look, weight or feel you want. A photo alone cannot confirm the exact fabric composition. Material availability and the final specification need to be agreed for your project.

  • Body and brim colors: provide a named color reference or physical swatch when available.
  • Logo: send artwork you are authorized to use, with the intended width and height.
  • Placement: mark front, side, back or another position on the reference.
  • Decoration: state whether you prefer embroidery, print, a patch or a label, or ask us to review suitable options.
  • Inside details: identify any sweatband, seam tape, label or closure requirements.

Keep the original artwork available. Screenshots can start a discussion, but small lettering and fine details may need clearer files or adjustment during sample development. Confirm colors and decoration against the agreed sample, as screens and photographs can look different.

3. Include the information that affects the quotation

  • Quantity for each style and color, including any size breakdown.
  • Destination country and delivery location needed for shipping discussions.
  • Target delivery date, clearly marked as a requirement to review.
  • Individual packing, tags, labels and carton requirements.
  • Any material or testing requirements your order must meet.

5. Confirm the sample before production

Use the sample review to agree the shape, fit, fabric, color, artwork position, closure and inside finishing. Record any requested changes and confirm the final specification, quantities, packing and schedule together. A clear approval record gives both sides the same reference for the production order.
